Job Summary
The Manager of Executive Operations role is an integral part of the Strategy and Culture team, ensuring the efficient and effective operation of the Office of the CEO and President. This role manages executive communications, prioritizes executive engagements, provides high-level administrative, logistical, and operational support to the CEO and President, and facilitates the CEO and President's work with the executive team and board of directors.The starting salary range for this role is $71,305-$77,504. This is a full time, fully on-site role based at HDQ with an anticipated start date of August 4th.

About the Role
The Manager of Executive Operations (MEO) will play a critical role in supporting the CEO and President by ensuring the seamless operation of their office. This role serves as a vital connection between KIPP DC’s leadership and the broader organization by managing executive communications, prioritizing engagements, and providing high-level logistical and administrative support to ensure optimal efficiency and productivity. The MEO will serve as a liaison between the CEO, President, executive team, and board of directors, making it a cornerstone of KIPP DC’s organizational effectiveness. The primary function of this role is to expertly handle a wide range of responsibilities to enable the CEO and President to focus on executive priorities.
This is an exempt position and will report to the Managing Director of Strategy and Culture.
Location and Type of Work
As a headquarters team that is focused on being responsive to our schools and meeting the needs of our students and families, we approach our work in a way that reflects these priorities. Schools operate in person and our students and families rely on us for in-person support which requires this position to be fully onsite. This role is currently required to be onsite or in schools during regular work hours.
Responsibilities
Executive Priorities and Operations (40% of time)
- Manage the day-to-day operations of the executive office, including scheduling meetings and managing calendars, to ensure a welcoming and productive environment.
- Prioritize executive engagement with staff and key external constituents to foster a culture of listening and responsiveness.
- Draft communications, memos, reports, speeches, and presentations on behalf of executive leaders.
- Share and gather information from internal and external stakeholders to support executive and organizational collaboration.
- Create content and briefing materials for internal and external executive engagements.
- Manage expense reports and travel arrangements for the CEO and President.
Board of Directors and Committee Management (25% of time)
- Manage logistics and record-keeping for board meetings, board committee meetings, and board retreats.
- Provide key logistical, physical, and administrative support to the President, and support the Managing Director as needed, for board meetings, committee meetings, and retreats, coordinating with the Strategy & Culture team as needed.
- Draft agendas and materials for quarterly board meetings, committee meetings, and retreats, in collaboration with the Managing Director and President.
- Prepare communications to inform and engage board members on organizational priorities, in collaboration with the Director of Strategic Initiatives.
Executive Leadership and Team Support (20% of time)
- Proactively support the CEO and President in advancing KIPP DC's mission and impact by anticipating their needs, creatively problem-solving, and connecting the dots between teams and projects to ensure seamless execution.
- Serve as a bridge between the CEO and President and the broader executive team, ensuring their availability to support executive team members' work.
- Optimize the CEO and President’s time by expertly managing their schedules, ensuring thorough meeting preparation, facilitating timely correspondence, and proactively providing relevant information and context for each engagement.
- Facilitate the planning and execution of executive team meetings, stepbacks, and retreats, including managing communications, drafting agendas, coordinating materials distribution, and following up on action items.
- Develop and maintain relationships with key stakeholders across the executive team, functional teams, and school teams to build alignment and foster collaboration.
Event Planning and Coordination (15% of time)
- Plan and prepare for executive team and leadership meetings, including bi-weekly huddles, monthly meetings, and stepbacks.
- Coordinate logistics, including vendor management and post-event reporting, for executive team meetings, HDQ leaders stepbacks, all-staff meetings, and other meetings involving the CEO and President, in collaboration with the Managing Director, as needed.
- Assist with virtual event planning and coordination (e.g., communications, logistics, registration) for hybrid internal and external meetings.
Requirements & Preferences
Required Qualifications
- Bachelor’s degree
- 2+ years of professional work experience, with at least 1 year of managing multiple stakeholders and projects
- Proficiency in a major office productivity suite (e.g., Google Workspace, Microsoft Office) with expertise in core applications such as email, calendar, word processing, spreadsheets, and presentation software
- Excellent written and verbal communication skills
- Outstanding organizational skills and extraordinary attention to detail
- Track record of confidentiality and discretion
Preferred Qualifications
- At least 2 years of experience in relevant planning, executive management or similar experience
- Experience with project or task management software like Asana, Trello
Physical Requirements
- Occasionally move or transport materials weighing up to 30 pounds.
- Flexibility to work outside normal business hours or weekends for KIPP DC events
- Ability to travel across KIPP DC schools, headquarters, and off-site meeting and event locations

KIPP DC offers an extremely competitive compensation and benefits package:
- The anticipated starting salary range for this position is $71,305-$77,504. At KIPP DC we strive for clarity, equity, and to be highly competitive. When determining salaries we look at benchmarks in the education and non-profit sector.
- KIPP DC offers a robust benefits package including medical, dental, and vision insurances; various voluntary benefits; and employer paid benefits such as short term disability, long term disability, life insurance, and a membership to One Medical.
- KIPP DC also offers a 403(b) retirement account with a 3% employer contribution and a 3% match with vesting after three years.
- Currently, individuals in this role have up to 15 paid time off days, up to 10 paid sick days, and 12 paid holidays. This is subject to change and your exact schedule will be shared in your offer letter.
